Location: Midlands Arts Centre (MAC), Birmingham, with occasional travel to project and event locations. This role is office based.
Reasonable travel expenses will be reimbursed when travel is required outside of the normal office base as part of the role.
About Sampad
Sampad is a Birmingham-based arts and heritage organisation that celebrates, develops and promotes South Asian arts and culture. We work with artists, schools, communities, healthcare providers, businesses and cultural partners to create high-quality artistic experiences that bring people together and inspire positive change.
We are seeking a motivated and enthusiastic Project Co-ordinator Intern to join our team for a 16-week paid internship. This opportunity is ideal for a recent graduate or someone at the beginning of their career who is looking to gain hands-on experience in arts administration, programme coordination, event delivery and partnership working within a leading cultural organisation.
The successful candidate will work closely with Sampad’s Programme Manager and Artistic Director, supporting the planning, coordination and delivery of a range of artistic, educational and community-based projects.
Purpose of the Role
This role will support the successful coordination and delivery of Sampad’s programmes, projects and events.
The Project Co-ordinator Intern will gain practical experience across a wide range of activities including project administration, event management, stakeholder liaison, artist support, audience engagement and programme delivery.

Key Responsibilities
- To provide administrative and coordination support across Sampad’s programmes and projects.
- To assist with the planning and delivery of performances, workshops, exhibitions, community activities and events.
- To support the development and maintenance of positive relationships with artists, participants, schools, community groups and cultural partners.
- To assist with project monitoring, evaluation and reporting.
- To contribute to the smooth day-to-day running of Sampad’s programme activity.
Main Duties
- Support the Programme Manager and Artistic Director in planning and delivering projects and events.
- Assist with project administration including maintaining schedules, contact databases and project documentation.
- Coordinate communications with artists, participants and project partners.
- Support the booking of venues, rehearsal spaces and meeting rooms.
- Assist with coordinating travel and accommodation arrangements where required.
- Support the preparation of project materials, briefing documents and event information.
- Help ensure projects are appropriately documented and evaluated.
- Writing and developing contracts for freelance stuff working on events
- Collecting monitoring information and support the maintenance of monitoring systems and databases.
- Assist with the practical delivery of events, performances, workshops and community activities.
- Support artist and participant liaison before and during events.
- Help with event set-up and pack-down.
- Assist with audience registration, surveys and feedback collection.
- Support front-of-house activities where required.
- Attend occasional evening or weekend events where appropriate (with time off in lieu arranged where necessary).
- Minuting meetings with partners
- Work with the marketing team to gather information about projects and events.
- Attend team meetings and planning sessions.
- Contribute ideas and suggestions to project development.
- Undertake other reasonable duties associated with the role.
- Carry out duties in accordance with Sampad’s policies and procedures.
Personal Specification
Essential
- Recent graduate, current student, or equivalent relevant experience.
- Demonstrable interest in arts, culture, heritage, education or community engagement.
- Excellent organisational and administrative skills.
- Strong written and verbal communication skills.
- Ability to work effectively as part of a team.
- Good IT skills including Microsoft Office and online communication platforms.
- Ability to manage multiple tasks and meet deadlines.
- Experience of organising activities, projects or events through work, study or volunteering.
- Positive, enthusiastic and proactive approach.
- Strong attention to detail.
- Willingness to learn and develop new skills.
- Friendly and professional manner.
- Ability to build positive relationships with a wide range of people.
